How to Send Us Your Members' Information
(You will need Microsoft Excel to complete this process)

            


 

1)   Print this instruction sheet by clicking on the left button above.
The button is labeled PRINT This Instruction Sheet.
You will need to refer to these instructions throughout this process.
 
2)   Completing the "MemberInformation" Excel spreadsheet is a multi-step process.

You first need to access and save the blank "MemberInformation" Excel spreadsheet by right-clicking on the button above. The button is labeled DOWNLOAD Member Information Spreadsheet. When you right-click on this button, a window appears. From this window, click Save Target As… Save this document on your hard drive. You will use it to enter the data you gather from the Rotary.org website in Step 3. Remember where you save this document.
 
3)   Next, go to the Rotary.org website and access your club's membership list by using your secretary's password.
 
4)   Download the membership list text file to your hard drive.
 
5)   Open the "MemberInformation" Excel spreadsheet you just saved on your hard drive in Step 2.
 
6)   Go to Data at the top of the Excel toolbar.
 
7)   Choose Get External Data and then choose Import Text File...
 
8)   Click on the text file you downloaded in Step 4. Then click the Import button.
 
9)   Choose Delimited and select Next.
 
10)   Click the Semicolon box, and make sure that this box is the only box checked.
 
11)   Click Next. Then click Finish.
 
12)   Next, you will see an Import Data dialog with the Existing Worksheet button selected. Type the following code into the box under the Existing Worksheet button: =Sheet1!$A$2

13)   Click OK and all the data should automatically be placed on the spreadsheet in the proper place.
 
14)   You then need to manually type the members' ID numbers into the appropriate column in the spreadsheet.
 
DO NOT ALTER THE SPREADSHEET by removing columns and renaming the file. The only information we need for each member is the First Name, Last Name, and Member ID Number. Leave the other columns of information blank.
 
15)   Select File and then Save from the Excel toolbar to save your spreadsheet on your hard drive with all of the members' data.
 

TO COMPLETE YOUR IMPRINTED PLASTIC CARD ORDER:

Send your completed "MemberInformation" Excel spreadsheet as an attachment via email to: RCMC4@comcast.net. This spreadsheet is independent of the order form and must be sent to us separately.
